From Six Manual Steps to One Dashboard: How Lake Country Family Fun Rebuilt Its Giveaway Process
Every sponsor giveaway used to mean rebuilding the same manual process from scratch — a form tool, a spreadsheet, and a lot of copy-pasting. Today it means opening one dashboard. The new system has processed over 3,300 entries, including nearly 700 in a single day.

The Challenge
Lake Country Family Fun runs regular reader giveaways with local sponsors — event tickets, prize packages, gift cards — as a way to keep its audience engaged and give sponsors real exposure. Every giveaway followed the same lengthy, manual routine: build a form, publish it, wait, then manually pull everything together by hand to actually run the giveaway.
For each new giveaway, the process was to create a form in Ninja Forms, embed it into a WordPress post, wait for entries, download the submissions, move them into a Google Sheet, manually pick a random winner, hand-edit a winner email template, and separately keep track of who'd opted into the newsletter — then do it all again for the next giveaway.
None of these were hard tasks individually. The cost was in the repetition, the handoffs between two disconnected tools, and the fact that nothing about the process got easier or faster the tenth time through — it was rebuilt from scratch every time, and it didn't scale as giveaway frequency picked up.
What We Built
One dashboard, not two disconnected tools
Create a giveaway — title, sponsor, prize, dates, and branding — and the system generates a hosted public entry page and a WordPress embed code automatically.
Built-in duplicate protection
The same person can't enter the same giveaway twice — enforced at the database level, not just in the form, so it can't be missed.
Newsletter and sponsor opt-ins, kept separate by design
Newsletter interest and sponsor consent are tracked separately and never mixed together — sponsors get a clean list of only the people who agreed to hear from them.
Searchable, filterable, exportable entries
The full entry list can be filtered, searched, and exported with a couple of clicks — no more downloading raw submissions and cleaning them up by hand.
One-click winner selection with status tracking
Pick a random winner, mark them contacted or claimed, or move on to the next winner if they don't respond — all from the same dashboard.
Ready-to-send winner emails
The system generates a winner notification email in Lake Country Family Fun's own voice, with a copy button and mailto link — no more hand-editing a template each time.

The Results
- Over 3,300 giveaway entries processed since launch, with duplicate entries blocked automatically at the database level.
- An estimated 15+ hours saved so far — roughly 100 minutes per giveaway compared with the old Ninja Forms/WordPress/Sheets workflow. No more building forms from scratch, manually deduping entries, or hand-tracking opt-ins for every giveaway.
- Nearly 2,000 newsletter opt-ins collected and tracked — without a single manual spreadsheet update.
- 9 sponsor giveaways run back-to-back over about seven weeks, on the same system, with nothing rebuilt from scratch.
- One early giveaway — a Wisconsin State Fair–themed prize package sponsored by Bank Five Nine — generated 696 entries in a single day, a real unplanned traffic spike the system handled without any manual intervention.
